How to Manage Multiple Units of Measure for Sales in SuiteCommerce InStore (SCIS)
Implement a kit item strategy in NetSuite ERP to enable flexible unit of measure sales tracking within SuiteCommerce InStore (SCIS).
Short answer
To manage diverse sales units in SuiteCommerce InStore (SCIS) when direct UOM selection may be limited, create a base inventory item with UOM for purchasing and inventory. Then, establish separate kit items for each sales unit (e.g., glass, 6-pack, case), linking them to the base item with precise quantities. This strategy facilitates flexible sales tracking while maintaining streamlined inventory and purchasing processes.
Scenario
A business using SuiteCommerce InStore (SCIS) needs to sell products in various units, such as by the glass, bottle, 6-pack, and 24-case. While purchasing and inventory tracking are managed by specific base units, the point-of-sale system requires flexibility to process sales across all these different units. This includes enabling cashiers to easily select the correct sales unit, even when scanning a UPC for a component within a larger package.
Solution
The solution involves creating a base inventory item in NetSuite ERP with defined Units of Measure (UOM) for purchasing and inventory tracking, and then creating separate kit items for each desired sales unit in SuiteCommerce InStore (SCIS).
Configure Base Unit of Measure (UOM) List
Create a UOM list, for example, named “Wine”.
Create Base Inventory Item
Create an inventory item in NetSuite ERP that will serve as the base unit for purchasing and inventory management. This item should have the following attributes:
- Item name/Number: arbitrary name or number
- UPC: the UPC code on the single bottle
- Display Name/Code: Name of item as it will appear on the receipt when the base unit is sold on the POS (“Red Wine”)
- Units Type: Wine
- Stock Units: Bottles
- Purchase Units: Cases
- Sale Units: Bottle
- Base Unit: bottle
- Sales Description: description as you want it to appear when taking inventory, such as “Red Wine (single bottle)”
Create Kit Items for Sales Units
To accommodate sales in various units of measure within SuiteCommerce InStore (SCIS), especially where dynamic UOM selection at the point of sale may be limited, create an additional Kit item to represent each desired sales UOM.
- For a Glass: Create a kit item. Add the component “Red Wine” and set the quantity to 0.25 (each bottle of wine contains four glasses, thus 0.25).
- For a Six-Pack: Create a kit item. Add the component “Red Wine” and set the quantity to 6.
- For Easy Lookup: To facilitate lookup of cases and packs by scanning the single bottle's UPC, include the single-bottle UPC code in the Item Name/Number field of each kit item.
Example Item Configuration Chart
The items should be configured as follows:
Item Name/Number UPC Code Tax
Bottle 1000 (arbitrary number) 123456789 from the UPC on physical wine bottle Base product, with UOM which will default to bottle (normal behavior) Taxable—normal rate
Glass 123456789-g NO UPC code Kit composed of .25 of bottle Taxable – Prepared Food
Pack 123456789-p 874563217 from the UPC printed on the physical pack Kit composed of 6 of bottle Taxable—normal rate
Case 123456789-c 748596321 from the UPC printed on the physical case Kit composed of 24 of bottle Taxable—normal rate
Cashier Workflow in SuiteCommerce InStore (SCIS)
This setup enables the following cashier workflows:
To ring up a single bottle, scan the UPC printed on the bottle; the item will be entered into the SCIS sale.
To ring up a case, pack, or glass:
a. Press FIND, scan the UPC printed on the bottle, then choose the pack, case, or glass item from the lookup screen.
b. Alternatively, scan the UPC code printed on the physical pack packaging.
Impact on Purchasing and Inventory
- Purchasing: Only the base unit appears in the purchasing list.
- Inventory: Only non-kit items show on the physical inventory sheet, preventing miscounts by employees.
- Sales Reports: Sales will be reported by each individual kit item.
