How to Find Vendors Missing Canadian Business Numbers in NetSuite

Understand the distinction between the 'Tax ID' and 'Business Number' fields for Canadian vendors and leverage NetSuite saved searches to identify records requiring updates.

Short answer

In NetSuite's Canadian edition, the 'Business Number' field on the Vendor record's Financial tab serves as the tax identification. To find vendors missing this information, create a saved search. Filter the search criteria for 'Business Number' is empty, then save and run the search to identify relevant records.

Scenario

Users operating in NetSuite's Canadian edition may observe that the 'Tax ID' field does not appear or is not used for Canadian vendor tax identification. This can lead to confusion when attempting to locate or report on vendors based on their tax identification number, particularly when trying to identify records where this crucial information is missing.

Solution

In NetSuite's Canadian edition, the 'Business Number' field is the designated field for vendor tax identification, located on the Vendor record's Financial tab. This field serves the same purpose as the 'Tax ID' field in other NetSuite editions. To identify vendors who are missing their Canadian Business Number, follow these steps to create a saved search:

  1. Initiate the creation of a new Vendor Saved Search. This can typically be done by navigating to Reports > Saved Searches > All Saved Searches > New or Lists > Search > Saved Searches > New, then selecting 'Vendor' as the search type.

  2. On the Criteria tab, within the Standard subtab, set the filter to Business Number is empty.

  3. Enter a descriptive Search Title for the saved search.

  4. Click Save & Run to execute the search and view the results.
