How to Mass Update Departments and Classes on NetSuite Transactions?
NetSuite's native mass update feature does not support direct changes to department and class segments, requiring alternative methods like CSV imports or scripting.
Short answer
NetSuite's native mass update functionality does not directly support updating department or class segments on transactions. If the old segment will be inactivated, renaming is an option. Otherwise, users must perform targeted searches, ensure periods are open, and then update transactions via CSV import. Scripting is another potential method, but also cannot affect closed periods.
Scenario
Organizations often need to update or replace department and class segments across numerous NetSuite transactions. This typically occurs when restructuring accounting segments, consolidating departments, or correcting data entry errors. The challenge arises when attempting to apply these changes broadly using standard NetSuite tools.
Solution
NetSuite's native mass update feature does not directly support changes to department or class segments on transactions. The approach depends on whether the original segment will be retained or inactivated:
If the original department or class will be deleted or inactivated: The segment can simply be renamed. This effectively updates all associated transactions to the new name.
If the original department or class must remain active and a new segment needs to replace it on specific transactions:
- These segments are not available for direct modification via NetSuite's standard mass update functionality.
- Users must perform targeted searches to identify all transactions requiring updates.
- It is crucial to ensure that these transactions are not within accounting periods that are already closed, as closed periods cannot be modified.
- Updates can then be performed through a CSV import process.
Scripting as an alternative: While scripting may offer a programmatic way to update these segments, it is subject to the same limitation: transactions within closed accounting periods cannot be affected.
