How to Assign Specific Resources to NetSuite Project Templates?

NetSuite offers different approaches for project template creation, with varying capabilities for assigning specific project resources versus generic users.

Short answer

While NetSuite's newer project template functionality primarily supports generic user assignment, specific project resources can still be added by utilizing the legacy method. This involves creating a standard project without a customer, adding the desired resources, and then using the 'Make Copy' option to generate new project templates.

Scenario

NetSuite users often seek to pre-assign specific project resources directly within project templates to streamline project initiation. However, when attempting to configure resources within the standard project template functionality, it appears that only generic users can be set, not individual project resources.

Solution

NetSuite provides two distinct methods for creating project templates, each with different capabilities regarding resource assignment. The previous method of creating project templates, which is still available, allows for the inclusion of specific resources. The newer, dedicated project template functionality is designed to set generic users.

  1. Utilize the Legacy Method for Specific Resources:

  2. Create a standard project record in NetSuite. Do not associate this project with a customer.

  3. Add the desired specific project resources directly to this project record.

  4. From this project record, use the 'make copy' option to create new project templates. This approach ensures that the specific resources are carried over into the new template.

  5. Understand New Project Template Functionality:

The new project templates only allow for the setting of generic users, not specific project resources, as indicated in NetSuite's help documentation.
