Why Does a NetSuite Form Remain Preferred or Change Unexpectedly?

NetSuite form behavior is influenced by preferred settings, user roles, and the 'Store Form with Record' option.

Short answer

NetSuite determines the active form based on role-specific preferred settings. If no active preferred form is set for a role, the system defaults to a standard form, as inactive forms are generally not used. Form behavior can also be affected by the 'Store Form with Record' setting, which saves the form used at record creation.

Scenario

Users may observe that a NetSuite record form appears to be 'stuck' on a particular form, or changes unexpectedly, even when no explicit preferred form is seemingly set. This can lead to confusion regarding which form will load when creating or editing records.

Solution

NetSuite's form behavior is governed by several factors. To understand and manage why a form appears 'sticky' or changes unexpectedly, consider the following:

  1. Preferred Form Settings by Role

NetSuite allows user roles to operate without a specific preferred form. In such cases, the system defaults to a standard form if no active preferred form is specified for that role. Attempting to uncheck a preferred form will typically result in the system assigning a standard form (e.g., 'Standard Project Form') as the new preferred form for that role. Current NetSuite documentation indicates that inactive forms are generally not used; the system typically defaults to a standard form if no active preferred form is available for a role.

  2. User Role Variations

Verify if different user roles are in use, as each role can have its own distinct preferred form settings. A form preferred by one role may not be preferred by another.

  3. 'Store Form with Record' Feature

Check if the 'Store Form with Record' option is enabled for the relevant record forms (e.g., Project forms). When this setting is active, the form used to save a record is stored with that specific record. Consequently, editing an existing record will open it with the form it was originally saved with, which may differ from the user's current preferred form or the role's default form.
