How to Display a NetSuite Saved Search as a Sublist on Item Records

Scenario
NetSuite users often need to display specific, related information directly on an item record, such as a list of associated lot numbers or inventory details. Standard sublists may not offer the required flexibility or data aggregation. The challenge is to configure a dynamic sublist that automatically filters its content based on the item currently being viewed.
Solution
To configure a saved search as a dynamic sublist on an item record, follow these steps:
Create the Saved Search:
- Create a new saved search (e.g., an Item search or a search relevant to the data you wish to display, like a Lot search).
- Configure the saved search with the necessary filters. Ensure that the *first* filter defined is the one used to link to the item context, typically the item's Internal ID. This filter field *must* be a list/record field.
- The Internal ID should be the first filter and does not need to be displayed in the footer. Its position as the first filter is crucial for the saved search to be available in the Sublist configuration screen.
- Crucially, ensure that the 'Available as Sublist View' checkbox is checked under the 'Available For' section of the saved search definition. This setting is essential for the saved search to be usable as a sublist.
Configure the Sublist:
- Navigate to the Sublist configuration screen by going to
Setup > Customization > Forms > Sublists. - Select the 'Item' tab within the Sublist configuration.
- In the first column, select the saved search you created. Provide a descriptive label for the sublist, choose the desired subtab for its display, and check the relevant boxes for the item types on which this sublist should appear.
- Navigate to the Sublist configuration screen by going to
Verify and Adjust:
- The sublist will now appear on the selected subtab of your item records.
- Note that if the sublist's tab option is changed after initial assignment, NetSuite may not dynamically update its location on existing forms. In such cases, the sublist may need to be manually repositioned by editing the relevant forms.NetSuite automatically applies the first filter of the saved search by comparing it against the internal ID of the current record, thereby displaying context-specific results.
