How to Mass Link Files to NetSuite Records via Custom Hyperlink Fields?

While NetSuite's native 'Files' subtab on the 'Communication' or 'Activities' tab is the primary method for attaching multiple files directly to records, an alternative approach for linking to specific files, especially when managing external links or requiring direct field-level references, involves using custom hyperlink fields. This method allows for structured linking of files stored in the File Cabinet or external URLs. For mass operations involving the direct attachment of files, scripting is often recommended. However, for populating custom hyperlink fields with URLs, CSV import is an effective tool. The process for linking files via custom hyperlink fields is as follows:

1. Attachments must first be uploaded to the NetSuite File Cabinet. These files can be organized into a single folder if desired.

2. On the target record type (e.g., Opportunity, Customer), create one or more custom hyperlink fields. Each custom hyperlink field will map to a specific attachment. For instance, if an opportunity record needs to reference up to five attachments, five distinct custom hyperlink fields will be required.

3. Perform a CSV import to upload the hyperlinks to the respective custom fields on the record. The import will populate each custom hyperlink field with the URL of the corresponding file from the File Cabinet. If a record only has one attachment to link, only one hyperlink field will be updated.
