How to Remove the ‘New’ Option from a Custom Record Dropdown List in NetSuite

Learn how to configure user permissions on custom record types to prevent users from creating new entries directly from dropdown fields.

Short answer

To remove the 'New' option from a custom record dropdown, navigate to the associated custom record type. Change its access type to 'User Permission List' and then, under the Permissions subtab, add the specific roles. For each role, set the permission 'Level' to 'View' to restrict new record creation.

Scenario

NetSuite users may encounter situations where the 'New' option appears in dropdown lists linked to custom record types, allowing them to create new records directly. This functionality might not be desired for certain custom records where data creation should be restricted to specific processes or roles, leading to potential data governance issues.

Solution

To remove the 'New' option from a dropdown list associated with a custom record type, follow these steps:

  1. Navigate to Customization > List, Records & Fields > Record Types.

  2. Open the custom record type associated with the dropdown list from which the 'New' option needs to be removed.

  3. Change the 'Access Type' field to "User Permission List".

  4. Go to the 'Permissions' subtab.

  5. Add the specific role(s) for which the creation of new values in the dropdown list should be restricted.

  6. For each added role, set the 'Level' field to "View".

By setting the 'Access Type' to "User Permission List", NetSuite will grant access to the custom record type strictly according to the permissions configured on the 'Permissions' subtab of that record type. This configuration ensures that roles with only "View" access cannot create new records, thereby removing the 'New' option from associated dropdowns.
