How to Grant Access to Custom Records for Specific Roles in NetSuite

Properly configuring NetSuite role permissions is essential for users to view and interact with custom record types.

Short answer

To grant a NetSuite role access to custom records, navigate to Permissions > Lists Tab and add the Custom Record Entries permission. For granular control, utilize the Custom Record subtab within role permissions to specify access levels for individual custom record types, ensuring users can view and manage necessary data.

Scenario

Users within a specific NetSuite role require access to custom records but are currently unable to view or interact with them. This situation typically arises when the necessary permissions have not been adequately configured within the role definition, preventing users from accessing critical custom data.

Solution

To grant a NetSuite role access to custom records, follow these steps:

  1. Navigate to Setup > Users/Roles > Manage Roles.

  2. Edit the desired role.

  3. Under the Permissions subtab, select the Lists tab.

  4. Add the Custom Record Entries permission to the role. This permission is mandatory for general access to custom records.

  5. For more granular control over specific custom record types, within the Permissions subtab, locate and select the Custom Record subtab.

  6. Add specific custom record types and define their access levels (e.g., View, Create, Edit, Full) as required.
