How to Enable Corporate Card Account Selection for Expense Reports in NetSuite?

Users importing expense reports may need specific role permissions to select corporate card accounts in NetSuite.

To enable the corporate card account dropdown on expense reports in NetSuite, ensure the user's role has 'Full' permissions for 'Expense Report' (under Transactions), and 'Employee record' and 'Credit Card Registers' (under Lists). These three permissions are crucial for visibility and selection.

Scenario

A client encountered an error when CSV importing employee expense reports into NetSuite, as they were unable to map to the account for corporate card expenses in the Controller role. This issue persisted even when attempting to create expense reports directly in the NetSuite UI, where the corporate card account field was not visible or selectable.

Solution

To resolve the issue where the corporate card account dropdown is not selectable for a role on expense reports, a combination of three specific permissions is required. After testing, it was determined that the following permissions, set to 'Full' access level, are necessary:

  1. Transaction subtabExpense report - Full

  2. Lists subtabEmployee record - FullCredit Card Registers - FullIt is important to note that the 'Employee record' permission is distinct from the general 'employee' permission. Assigning 'Full' access level for each of these permissions is critical, as lower access levels were found to be insufficient for the functionality to work correctly.
