Why Are Customer Ship To Addresses Missing on NetSuite Sales Transactions?

Missing a default shipping address on a customer record can prevent international Ship To addresses from appearing on sales transactions.

Customer Ship To addresses may be missing on sales transactions if no 'Default Shipping' address is selected on the customer record's address tab. NetSuite assumes the transaction is based in the subsidiary's country if no default is set. To resolve, select a 'Default Shipping' address on the customer record's address tab.

Scenario

When creating a sales transaction in NetSuite, users may find that certain customer addresses are not available in the 'Ship To' select options at the line level. This typically occurs when the customer has multiple addresses, especially international ones, but these addresses do not appear as expected. For instance, if a US-based subsidiary is transacting with a Canadian customer, none of the customer's defined Canadian addresses might be available for selection.

Solution

The issue arises when no 'Default Shipping' address is selected on the customer record. NetSuite's system logic dictates that if a default shipping address is not explicitly chosen, it assumes the transaction's shipping country aligns with the subsidiary's country. This can prevent addresses from other countries, such as Canadian addresses for a US subsidiary, from appearing in the 'Ship To' options. To resolve this:

  1. Access the relevant customer record.

  2. Navigate to the 'Address' tab.

  3. Select an appropriate address to be designated as the 'Default Shipping' address.

  4. Save the customer record. After setting a default shipping address, all defined customer addresses will be available for selection in the 'Ship To' field on sales transactions.
