How to Efficiently Mass Update NetSuite Journal Entries (Main Line Only)
When custom workflows prevent bulk approval, filtering for the main line of journal entries in a mass update significantly improves performance and completion rates.
Short answer
To resolve slow mass updates of journal entries when a custom workflow is in use, add 'Line Sequence Number' equal to '0' as a criterion. This filters results to only the main line, drastically improving update speed and allowing completion for large volumes of records that would otherwise time out or stop prematurely.
Scenario
A large volume of journal entries may be updated via CSV, inadvertently pushing their state back to pending approval and locking the records. When a custom workflow is in use for Journal Entry approvals, the standard bulk approve JEs page cannot be utilized. Attempting to resolve this via a mass update often results in slow processing and premature termination, as the update includes all line items instead of just the main line, especially with thousands of records.
Solution
To ensure a mass update processes only the main line of Journal Entries, thereby improving performance and preventing timeouts, add a specific criterion. In the criteria section of the mass update, select 'Line Sequence number' and set its value to '0'. This action filters the results to display only the main line of the Journal Entries, allowing for efficient processing.
Navigate to Lists > Mass updates > Mass Updates.
Expand the 'Workflows' option.
Scroll down until 'Transition Journal Entry Approval' is visible and select it.
From the 'Transition to' dropdown, select 'Approved'.
Add additional criteria as needed to filter the desired journals (e.g., date, posting period, approval status).
Add a new criteria line for 'Line Sequence Number' and set this as equal to '0'.
Preview the results to confirm only the main line of the Journal Entries matching your criteria are displayed.
Select the records and run the update.
