How to Identify Backordered Line Items on NetSuite Transfer Orders?

NetSuite users can create a saved search to accurately identify transfer order lines that are currently backordered, ensuring better inventory management.

Short answer

To find backordered transfer order line items in NetSuite, create a saved search with two key filters: 'Transaction Line Type is Item' and a 'Formula (Numeric) is greater than 0' using `NVL({quantity},0)*-1 - NVL({transferorderquantitycommitted},0) - NVL({transferorderquantityshipped},0)`. This formula accounts for the negative quantity on item lines and identifies unfulfilled quantities.

Scenario

Organizations often need to track which items on their NetSuite transfer orders are currently backordered. Identifying these specific line items is crucial for managing inventory, planning shipments, and communicating accurate stock availability. A common challenge is accurately filtering transfer order lines to distinguish between item, shipping, and receiving lines while calculating the true backordered quantity.

Solution

To identify backordered line items on NetSuite transfer orders, configure a saved search with the following filters:

  1. Transaction Line Type

    Select Item.

  2. Formula (Numeric)

Set the condition to is greater than 0 and use the following formula:

NVL({quantity},0)*-1 - NVL({transferorderquantitycommitted},0) - NVL({transferorderquantityshipped},0)

This logic accounts for the structure of transfer order lines, where each item typically generates three lines: an item line, a shipping line, and a receiving line. The quantity shipped and committed fields are populated only on the item line. Since the quantity field on the item line is negative (representing the quantity shipped), it is multiplied by -1 to convert it to a positive value for calculation. This approach accurately returns all transfer order line items that are backordered. The fields used in this formula are based on the 2012.2 Record Browser.
