How to Send NetSuite Saved Search Email Alerts to a Specific Role
Learn the process for configuring NetSuite saved search email alerts to reach a predefined group of employees based on their assigned roles.
Short answer
To send saved search email alerts to employees with a specific role, first create a saved search for employees filtered by role. Then, create a Static Group from these results. Finally, configure the saved search's email tab to include this Static Group as a specific recipient, ensuring targeted notifications.
Scenario
NetSuite users often need to send automated email alerts from saved searches to a specific subset of employees, such as all employees holding a particular role. The challenge lies in correctly identifying and configuring these role-based recipients within the saved search's email settings to ensure only relevant personnel receive the notifications.
Solution
To configure a saved search email alert for employees with a specific role:
Create a Saved Search for Employees by Role
- Start by creating a saved search on the Employees record type.
- Add criteria to filter employees based on their Role.
Create a Static Group
- Create a Static Group of Employees. This group can be populated using the results of your saved search.
Configure Saved Search Email Recipients
- Navigate to Lists > Search > Saved Searches.
- Edit the saved search you created.
- Click the Email tab.
- Under the Specific Recipients tab, click the arrow (>>) button or drop-down arrow under the Recipient column.
- Select Search.
- On the search pop-up window, set Name contains then write the name of the Static Group in the field beside it.
- Click Submit.
- On the Result list, select the Static Group you need.
The Static Group should now be added to the specific recipient field, ensuring that email alerts from this saved search are sent to all members of that group.
