How to Ensure Accurate Results for Date-Based Scheduled Saved Searches
Aligning NetSuite scheduled search execution times with dynamic date criteria is key for accurate email delivery.
Short answer
To ensure accurate results for NetSuite scheduled saved searches with dynamic date criteria, align the search's execution time with your data needs. If a daily search runs early, 'TODAY' may not include all desired records. Adjusting criteria to 'YESTERDAY' or explicitly setting the scheduled email's start time can resolve discrepancies.
Scenario
A user scheduled a daily saved search to email work requests closed 'TODAY'. However, the scheduled emails were not consistently delivering the expected results. The discrepancy arose because the search's execution time did not align with the full day's data for the 'TODAY' criterion.
Solution
When a saved search is scheduled to be sent daily, its execution time, which can be explicitly configured by the user, impacts the results for dynamic date criteria. If a search with the criterion 'Work request closed TODAY' is scheduled to run early in the day, it may not capture all records closed throughout the entire day. To resolve this, the criteria for the saved search can be adjusted to 'YESTERDAY' to ensure all records from the previous full day are included. Alternatively, users can explicitly set the 'Start Time' for the scheduled email on the 'Email' subtab of the saved search definition to ensure it runs at a time that captures the desired 'TODAY' data.
