How to Display Project Name Without ID on NetSuite Invoice PDFs

Learn how to configure custom PDF layouts in NetSuite to show only the project name, enhancing readability for clients.

Short answer

To display only the project name on NetSuite Invoice PDFs, use a custom element with a specific formula in your PDF layout. This formula intelligently extracts the name by removing the auto-generated ID, ensuring a clean presentation even when the job field is empty. This prevents unwanted text from appearing on client-facing documents.

Scenario

When NetSuite's auto-generated numbers feature is enabled for jobs, the project field on invoices typically displays both the job ID and the project name. This can result in a cluttered appearance on client-facing documents. Users often need to present only the project name for clarity and professionalism on custom invoice PDF layouts.

Solution

The default behavior in NetSuite when auto-generated numbers are enabled for jobs is to display the Job ID along with the Name. If auto-generated numbers are off, the Job ID is equivalent to the Name. To display only the project name without the ID on a custom PDF layout, follow these steps:

  1. Navigate to your custom PDF layout.

  2. Add a Custom element to the layout.

  3. In the custom element, use the following formula to extract only the project name when the job field has a value:

Project: <%substr({job}, length({job.entityid})+1)%>
  1. For a more robust solution that handles cases where the job field might be null, preventing unwanted text from appearing, use the following perfected formula:

<%nvl2({job}, substr({job}, length({job.entityid})+1), ' ')%>

This formula ensures that if the job field is empty, a blank space is returned instead of an error or placeholder text, maintaining a clean document.
