How to Make NetSuite Employees Available as Contacts?
NetSuite offers two primary methods to ensure employee records can be accessed and utilized as contact entities within the system.
Short answer
Employees can be made available as contacts in NetSuite through two main configurations. The first involves enabling the 'Show Employees as Contacts' preference in Company General Preferences. Alternatively, specific user roles can be granted access by enabling the 'Do Not Restrict Employee Fields' functionality checkbox within the role's settings.
Scenario
NetSuite users may encounter situations where employee records are not visible or selectable when attempting to link them as contacts to other records, such as customers or projects. This limitation prevents the seamless integration of internal personnel into contact-related workflows, requiring specific system configurations to enable this functionality.
Solution
To enable employees to function as contacts in NetSuite, implement one of the following two methods:
Navigate to Setup > Company > General Preferences and locate the 'Show Employees as Contacts' checkbox. Enable this preference to make all employees available as contacts system-wide.
For more granular control, edit the specific user role that requires access to employee fields. Within the role's definition, enable the 'Do Not Restrict Employee Fields' functionality checkbox. This grants users assigned to that role the ability to view and select employees as contacts.
