How to Share Financial Report Layouts Across NetSuite Subsidiaries

Organizations operating with multiple NetSuite subsidiaries, particularly those in different countries, often require a standardized financial reporting format. The challenge arises when attempting to apply a single report layout across these diverse subsidiaries, as country-specific accounting rules or system configurations can lead to errors or inconsistencies in financial statements like the Balance Sheet.

Solution

To share financial report layouts across subsidiaries, it is necessary to create copies of existing layouts and assign them appropriately. Layout assignments determine which report layout NetSuite utilizes when generating a specific report for a particular subsidiary. These assignments are managed under Reports > Financials > Row Layout Assignments. Follow these steps for the Balance Sheet:

  1. View the report and ensure the ‘Subsidiary Context’ matches the subsidiary for which the layout is being customized.

  2. Select the desired layout (e.g., the Canadian Layout) from the dropdown and proceed to customize it.

  3. Edit sections that may contain errors. For international subsidiaries, the Canadian layout might show errors in the ‘Net Income (Balance Forward to Beginning of Year’) and ‘Net Income’ sections.

    For International: the value in the ‘row’ field in the ‘Net Income (Balance Forward to Beginning of Year’) and ‘Net Income’ sections has to be ‘Net Profit/(Loss)’

    For Canada and USA: the value has to be ‘Net Income’

  4. Assign the customized layouts to the relevant subsidiaries.

  5. Review the report to confirm that when the subsidiary context is selected, NetSuite correctly sources the assigned layout.

    It is not always necessary to create a separate layout for every subsidiary. Subsidiaries sharing the same edition (e.g., three subsidiaries in the US) can utilize the same layout.

    The process is significantly simpler for Profit & Loss reports. A single layout can often be shared across multiple different editions (validated with International, US, and Canadian editions) because it typically avoids the specific errors encountered in the ‘Net Income (Balance Forward to Beginning of Year’) and ‘Net Income’ sections of the Balance Sheet.

    Layouts should also be allocated to ‘detailed’ reports. These ‘detailed’ layouts can be identical to the ‘summary’ reports.
