How to Import Gift Certificates with Existing Authorization Codes in NetSuite?

To import gift certificates or gift cards into NetSuite when they already have an authorization code, follow these steps:

1. The Gift Certificates feature must be enabled by navigating to Setup > Company > Enable Features > Items & Inventory > Items > Gift Certificates Setup.

2. Set the Gift Certificate Auth Code Generation preference by going to Setup > Accounting > Accounting Preferences > Items/Transactions > Other Item Preferences > Gift Certificate Auth Code Generation and setting it to "Enter On Order".

3. Create a generic customer in the NetSuite instance to import the gift certificates onto.

4. Note: An e-mail WILL be sent to the gift certificate recipient. The same e-mail can be entered for all certificates, as it does not impact who can use the certificate.

5. Create a CSV import mapping for Transactions > Cash Sale. (Using Invoice is an alternative, but it would require creating payments or journals to close the transactions).

6. In the mapping, under NetSuite Fields > Cash Sale Items, map the following fields:

   Items : Amount (the amount remaining on each card)

   Items : Gift Message

   Items : Code (those need to be unique!)

   Items : Recipient Email (informational only)

   Items : Recipient Name (informational only)

   Items : Item (the gift certificate item)

   Undep. Funds No

   Account (An account to post the transaction against.)
