How to Add Contact Drop-Down and Email Fields to NetSuite Sales Orders?
Configure custom fields on NetSuite sales orders to display customer contact names and emails.
Short answer
To add contact dropdowns and emails to NetSuite sales orders, create two custom transaction body fields. The first, "Contact Name," is a List/Record type sourcing from the Customer. The second, "Contact Email," is an Email type sourcing from the "Contact Name" field. This setup ensures relevant contact information is readily available on transaction records.
Scenario
Users require the ability to select a specific contact associated with a customer directly on sales orders, quotes, and invoices. Additionally, they need to display the email address of the selected contact automatically. This functionality streamlines communication and ensures accurate contact information is visible on transaction records.
Solution
The solution involves creating two custom transaction body fields: one for the Contact Name (a dropdown) and another for the Contact Email (an inline text field).
Navigate to Customization > Lists, Records, & Fields > Transaction Body Fields.
Click New.
Configure the first Transaction Body Field for Contact Name with the following details:
- Label: Contact Name
- ID: _contactontrans
- Owner: (leave as is)
- Description: (leave blank)
- Type: List/Record
- List/Record: Contact
- Store Value: check
- Show in List: (leave blank)
On the
Applies Tosubtab, checkSaleand any other transaction types where this field should be visible.On the
Displaysubtab, enter the following information:- Insert before: (leave blank)
- Subtab: Main
- Display Type: Normal
- Help: "Select the contact for this customer."
On the
Sourcing & Filteringsubtab, configure the field to pull contact data from the customer record:- Source List: Customer
- Source From: (leave blank)
- Source Filter By: Parent
Leave the
Validation & Defaulting,Access, orTranslationsubtabs as default.Click
Save & New.Configure the second Transaction Body Field for Contact Email with the following details:
- Label: Contact Email
- ID: _contacteamil
- Owner: (leave as is)
- Description: (leave blank)
- Type: email
- List/Record: (greyed out)
- Store Value: check
- Show in List: (leave blank)
On the
Applies Tosubtab, checkSaleand any other transaction types where this field should be visible.On the
Displaysubtab, enter the following information:- Insert before: (leave blank)
- Subtab: Main
- Display Type: Inline text.
On the
Sourcing & Filteringsubtab, configure the field to pull data from the contact record:- Source List: Contact Name
- Source From: Email
Leave the
Validation & Defaulting,Access, orTranslationsubtabs as default.Click
Save.These two new fields will now be available in the list of Transaction Body Fields and can be added to transaction forms.
