How to Edit Non-GL Transactions in a Closed NetSuite Period?
While direct GL-impacting changes are restricted, NetSuite allows specific non-GL modifications to transactions within a closed period under certain configurations.
Short answer
NetSuite generally prevents GL-impacting changes in closed periods. However, non-GL modifications, such as updating memos or custom fields, are permissible if the period's 'Allow Non-G/L changes' setting is enabled and the user's role has the corresponding permission. Scenario
NetSuite users often encounter situations where they need to make minor adjustments to transactions after a financial period has been closed. The primary concern is whether any modifications are possible without reopening the period, especially when the changes do not affect the General Ledger.
Solution
NetSuite strictly prohibits any changes to transactions that would impact the General Ledger (GL) once a financial period is closed. However, non-GL changes, such as modifying a memo field or populating data in a custom field, can be performed in a closed period, provided specific conditions are met:
The financial period must have the 'Allow Non-G/L changes' setting enabled (set to True).
The user's role must be granted the 'Allow Non-G/L changes' permission.These non-GL changes can be executed manually through the NetSuite user interface (UI) or programmatically via web services. When using web services, it is presumed that the role utilized by the web services integration possesses the necessary 'Allow Non-G/L changes' permission, similar to the default permissions for the Administrator role.
