How to Mass Print Work Orders from Sales Orders in NetSuite

Learn two methods to efficiently print multiple work orders generated from a single sales order in NetSuite.

Short answer

Implement a custom button on the sales order to trigger a script that prints all related work orders, or leverage the 'Print Checks and Forms' page with a custom text field and mass update for filtered printing.

Scenario

Users often need to print multiple work orders that have been generated from a single sales order. NetSuite's native functionality does not provide a direct, streamlined method for mass printing these related work orders, leading to manual and time-consuming processes.

Solution

There are two primary approaches to mass print work orders linked to a sales order:

Method 1: Custom Scripted Button on Sales Order

This method offers a user-friendly approach by consolidating the printing process into a single action on the sales order record.

  1. Implement a custom button on the sales order record, for example, labeled "Print Work Orders". This button would be configured via a User Event script (before load).

  2. When the custom button is pressed, a script is triggered to find all work orders created from the current sales order.

  3. The script iterates through the list of found work orders and initiates the printing process for each. For modern NetSuite environments, this would typically involve using methods within the N/render module in SuiteScript 2.x for printing functionalities.

Method 2: Utilizing the 'Print Checks and Forms' Page with Custom Filtering

This method leverages NetSuite's existing printing capabilities by enhancing them with custom fields and mass updates. While the 'Created From' field is not directly available as a filter on the 'Print Checks and Forms' page, a custom solution can achieve similar results.

  4. Create a custom text field on the work order record. This field will be used to temporarily mark work orders for printing.

  5. The user can then perform a mass update to populate this custom text field with a unique value (example: JIM01) for all work orders associated with a specific sales order (example: SO#123). This mass update would involve creating a saved search to fetch the relevant work orders and then applying the update.

  6. Navigate to the 'Print Checks and Forms' page.

  7. Add a filter on the custom text field created in step 1, entering the unique value (example: JIM01).

  8. Select "Mark All" and then proceed with printing the filtered work orders.
