How to Send NetSuite Transactions to Multiple Customer Email Addresses?
Leverage a custom field and workflow to enable sending NetSuite transaction notifications to several email recipients for a single customer or vendor.
Short answer
NetSuite's default email field on entity records does not allow multiple addresses. To send transactions to several recipients, create a custom free-form text field on the customer or vendor record. Implement a workflow on the transaction type to populate the transaction's 'Email' field with addresses from this custom field, enabling multiple notifications.
Scenario
NetSuite's standard email field on entity records, such as customer or vendor records, is designed to accept only a single email address. Entering multiple email addresses into this default field will result in an invalid data alert. This limitation prevents users from directly sending transaction notifications to several recipients associated with a single customer or vendor.
Solution
To enable sending transactions to multiple email addresses for a customer or vendor, a simple workaround can be implemented using a custom field and a workflow.
Create a custom free-form text field on the customer or vendor record to store the multiple email addresses.
Deploy a workflow on the transaction type of interest. This workflow should be configured to execute
before submitand set the 'Email' field, located next to the 'To Be Emailed' checkbox, with the email addresses sourced from the custom field on the entity record. When the transaction is saved, the multiple addresses will be copied onto the transaction's email field. If the 'To Be Emailed' checkbox is selected, NetSuite will then notify all specified addresses of the transaction's creation.
