How to Update Custom Forms for Existing NetSuite Transactions

NetSuite users often need to update the custom transaction form associated with records that have already been created and saved. This situation arises when a new or revised custom form needs to be applied retroactively to existing transactions, such as Estimates, to ensure consistency or incorporate new fields.
Solution
NetSuite transaction records, including Estimates, are stored with the custom form that was in use at the time of their creation. This design ensures data integrity, but it means that simply changing the default form preference will not update existing records. To change the custom form on previously saved transactions, a workflow combined with a CSV update is required.Follow these steps:
Create a Workflow: Design a workflow that targets the specific transaction type (e.g., Estimate). The workflow should be configured to set the desired custom form on the record.
Configure Workflow Trigger: Set the workflow to trigger when a specific field on the transaction record is updated. This field can be a custom field created specifically for this purpose, or an existing field that can be temporarily modified without adverse effects.
Perform CSV Update: Export the existing transactions that need their forms updated. In the CSV file, make a minor, non-impactful change to the field configured in the workflow trigger for all relevant records.
Import CSV: Import the modified CSV file back into NetSuite. This action will trigger the workflow for each updated record, applying the new custom form as defined in the workflow.This approach ensures that the new custom form is correctly associated with existing transactions.
