Referencing Case Information in Emails Sent from NetSuite Issue Records
Understand the capabilities and limitations of NetSuite email templates when referencing fields from related records, including the use of scriptable templates.
Short answer
NetSuite's scriptable (FreeMarker) templates overcome CRMSDK tag limitations by allowing access to fields from related records and sublists. This enables inclusion of comprehensive information, like case details in emails sent from issue records, providing a robust solution for advanced email customization without requiring full SuiteScript for template content.
Scenario
Users often need to send emails from a specific record type, such as an Issue record, but require information from a related record, like a Case. The challenge arises when attempting to include fields from the related Case record directly within an email template, as standard templating methods may impose limitations on accessing data beyond the primary record.
Solution
When utilizing traditional mail merge with CRMSDK tags in NetSuite email templates, there are inherent limitations. These tags are primarily designed to reference fields directly from the record from which the email is being sent. For example, if an email is sent from a Case record, only Case fields can be directly referenced. CRMSDK tags do not inherently support referencing fields from related records or sublists. This means that if multiple Issue records are attached to a Case, CRMSDK tags cannot determine which specific Issue's field values to retrieve. However, NetSuite's advanced email templating capabilities, specifically scriptable templates utilizing FreeMarker, provide a powerful solution to overcome these limitations. Scriptable templates are designed to handle more complex scenarios, including the ability to reference fields from related records and sublists. This means that it is possible to reference Case fields even when sending an email from an Issue record, or vice-versa, by leveraging the FreeMarker syntax to navigate record relationships. While full SuiteScript remains an option for highly complex logic, scriptable templates often address the need for related record data directly within the template content.
