What is the Best Practice for GL Imports and Year-End Historical Data?

Optimize NetSuite GL imports for historical data by understanding the best practice for year-end treatment and monthly postings.

Short answer

For historical GL data imports, the best practice is to import a Year-to-Date trial balance only for the initial conversion period. For subsequent periods, post only the net activity balances. This method minimizes line item detail, streamlines analysis, and reduces reconciliation errors, aligning with standard ERP operations.

Scenario

When importing historical General Ledger data into NetSuite, users often consider bringing in a Year-to-Date (YTD) trial balance on a monthly basis. While this approach can ensure YTD reports function correctly, it introduces significant line item details that complicate financial analysis and increase the potential for reconciliation errors.

Solution

To optimize General Ledger (GL) imports for historical data and ensure efficient financial reporting in NetSuite, it is recommended to adopt a specific approach for year-end treatment.

  1. Initial Conversion Period:

For the very first period being converted into NetSuite, import the full Year-to-Date (YTD) trial balance. This provides the foundational historical data.

  2. Subsequent Periods:

For every period following the initial conversion, only post the net balances for that specific period. This means importing only the net activity that occurred within that month, rather than a cumulative YTD balance. This method closely simulates how NetSuite, or any other Enterprise Resource Planning (ERP) system, operates on a monthly basis. While YTD reports can function correctly with other methods if reversals are handled properly, posting net activity by period significantly reduces the volume of line item details, making financial analysis more straightforward. Furthermore, this approach inherently lowers the likelihood of reconciliation errors, contributing to more accurate and manageable financial data.
