Why are Cybersource Authorization/Settlement entries not created for NetSuite Deposits?

Understand the distinct payment processing flows for sales orders and deposits in NetSuite when integrated with Cybersource.

Short answer

NetSuite deposits are designed for immediate charging, not a two-step authorization/settlement process. For deposits created via script, the 'chargeit' checkbox must be set to TRUE to ensure funds transfer. Sales orders, conversely, utilize a separate authorization and settlement flow.

Scenario

Users observe that NetSuite does not create separate authorization and settlement entries for deposits processed through Cybersource, unlike the behavior seen with sales orders. This leads to questions regarding the expected payment processing workflow for deposits.

Solution

In NetSuite, the payment processing workflow differs significantly between sales orders and deposits, particularly concerning authorization and settlement entries. For sales orders, an authorization 'locks up' credit on the customer's card. The actual settlement, or charge, occurs later when the sales order is billed. This two-step process accommodates the time lag often present between order placement and fulfillment.Deposits, however, are designed for immediate charging. When a deposit is made, the card is charged right away, reflecting an immediate transfer of funds. Consequently, deposits do not require a separate authorization step. When a script is used to create deposits, it is crucial that the "chargeit" checkbox is set to TRUE (checked) to facilitate the movement of funds from the issuing bank to the merchant account. There is no "getauth" checkbox available on the deposit record, which means NetSuite does not support a two-step authorization process for deposits, unlike sales orders. While Cybersource may handle both transactions (authorization and settlement) transparently and sequentially on its end, from the NetSuite perspective, there is no native ability to authorize deposits.
