How to Control Custom Record Access in NetSuite Partner and Customer Centers
NetSuite administrators can manage access to custom records for external users by leveraging permission settings and scripting or workflow automation.
Short answer
Control custom record access in NetSuite Partner and Customer Centers by either restricting search permissions and using before load scripts/workflows to block views, or by utilizing the custom record's 'Owner' field. Configure role permissions to 'Viewing and Editing' for the 'Owner' field and assign partners/customers as owners of their records.
Scenario
Organizations often need to provide external users, such as partners or customers, with access to specific custom records within NetSuite. The challenge lies in precisely controlling which records these users can view or edit, ensuring data security and relevance within the Partner Center or Customer Center environments.
Solution
These solutions have been tested in the Advanced Partner Center and are applicable to both the Customer Center and Partner Center:
Restrict the role's ability to search by not granting the 'Perform Search' permission. Implement a before load user event script or a workflow to block access when a user attempts to view a record.
Display the 'Owner' field on the custom record and allow it to be changed.
For partner or customer roles, configure the 'Restrict' column to "Viewing and Editing" within the permissions list.
Assign the relevant Partner or Customer as the owner of their respective records. This ownership assignment can typically be managed through mass updates or parent-child record editing.
