How to Set Preferred Forms for Leads, Prospects, and Customers in NetSuite

Learn how to configure default forms for various entity types, including role-based preferences and specific sales settings.

Short answer

NetSuite allows setting preferred forms for Leads and Prospects via Sales Preferences. For Customer records, preferred forms are managed through role-specific settings or by marking a custom form as preferred, providing flexibility in form assignment.

Scenario

Users need to define specific default forms for different entity types such as Leads, Prospects, and Customers within NetSuite to streamline data entry and ensure consistency.

Solution

NetSuite supports role-based preferred forms for many record types, allowing administrators to assign specific forms based on user roles. However, for certain entity types like Leads and Prospects, preferred forms are configured through Sales Preferences. To set preferred forms for Leads and Prospects:

  1. Navigate to Setup > Sales > Sales Preferences.

  2. Go to the General subtab.

  3. Locate the 'Preferred Lead Form' and 'Preferred Prospect Form' fields.

  4. Select the desired form for each entity. For Customer records, preferred forms are not set in Sales Preferences alongside Lead and Prospect forms. Instead, preferred forms for customer records can be set at the role level or by marking a custom form as preferred directly on the custom form record.
