Why Can a NetSuite Folder Owner See Restricted Files in File Cabinet?
NetSuite users who create folders in the File Cabinet retain visibility to all contents, even if folder-level restrictions are applied, due to inherent ownership.
Short answer
In NetSuite's File Cabinet, the user who creates a folder automatically becomes its owner and retains full visibility to all files within it, regardless of any applied restrictions. To ensure proper access control and enforce restrictions, it is crucial that a System Administrator creates any folders intended to have restricted access.
Scenario
A user may encounter a situation where they have created a folder within the NetSuite File Cabinet and subsequently applied restrictions to it, intending to limit visibility. However, despite these restrictions, the folder creator continues to see all files contained within that folder. This behavior occurs because the creator retains ownership of the folder.
Solution
To effectively enforce access restrictions on folders within the NetSuite File Cabinet, it is essential to understand that the user who creates a folder will always maintain ownership and full visibility to its contents. Therefore, to ensure that folder restrictions are properly applied and respected by all users, including the intended restricted parties, the following action is recommended:
When creating a new folder in the File Cabinet that requires restricted access, always request a System Administrator to perform the folder creation.
