Why Do Multiple Sales Orders Share the Same Sales Order Number in NetSuite?

Multiple sales orders can share the same number in NetSuite if the 'Allow Override' setting is enabled. This allows users to proceed with saving a transaction even after receiving a prompt that the sales order number is already in use, leading to duplicate transaction numbers in the system.

Scenario

A situation may arise in NetSuite where multiple sales orders are assigned the same sales order number. This typically occurs when two users are simultaneously creating sales orders, and a number reserved for one user is quickly taken by another. When the first user attempts to save their transaction, they are prompted that the number is already in use.

Solution

This issue occurs if the 'Allow Override' setting is enabled for transaction numbering, or was enabled at the time the duplicate sales orders were created. When a user attempts to save a sales order with a number already in use, NetSuite displays a prompt, such as "SO#123 is already used, do you want to continue?" If the user ignores this prompt and proceeds with saving the transaction, it results in multiple sales orders sharing the identical sales order number.
