How to Configure NetSuite for Periodical Payments on a Single Item

This guide details the NetSuite setup for managing recurring payments on a single item through billing schedules and sales orders.

Short answer

Handle periodical payments for a single item in NetSuite by creating a standard billing schedule (initial amount 0, monthly recurrence). Customize the sales order form to show the billing schedule column. Create a sales order, fulfill the item, and use 'Next Bill' to generate cash sales for each payment split.

Scenario

Organizations often need to process payments for a single item or service over an extended period rather than as a single upfront transaction. This requires a method to split the total cost into multiple, recurring payments while ensuring the item is fulfilled appropriately.

Solution

To configure NetSuite for periodical payments on a single item, follow these steps:

  1. Create a billing schedule with the following parameters:

    • Type: Standard
    • Initial Amount: 0
    • Frequency: Monthly
    • Recurrence Count: Specify the desired number of payment splits.
    • Terms: Leave blank.
  2. Customize the sales order form to make the 'Bill. Sched' column visible.

  3. Create a sales order and select the desired payment method (e.g., a credit card payment method, or 'Cash' for simplified examples).

  4. Fulfill the item. This action fulfills the item on the first payment. If automatic fulfillment is required when the first cash sale of the batch is created, this can be achieved via scripting (user event, after submit on cash sale), which would require 'Invoice in Advance of Fulfillment' to be activated.

  5. Utilize the 'Next Bill' action. This will generate a cash sale for the first payment split. Subsequent 'Next Bill' actions will create cash sales for subsequent splits according to the billing schedule.
