How to Control Employee List Visibility by Subsidiary in NetSuite Roles
Configure NetSuite role permissions to manage which employees users can view based on their subsidiary assignments and restrictions.
Short answer
To filter employee lists by subsidiary, edit the user's role in NetSuite. Navigate to 'Setup > Users/Roles > User Management > Manage Roles', select the role, and configure 'Subsidiary Restrictions'. Users will only see employees from their assigned subsidiaries or those explicitly selected in the role's restrictions, unless 'Allow Cross-Subsidiary Record Viewing' is enabled.
Scenario
Users in NetSuite may encounter situations where they need to view or restrict employee lists based on subsidiary affiliation. This often occurs when a user's role is intended to operate within specific subsidiaries, and the system's default view might either show too many employees or too few, leading to confusion or security concerns.
Solution
Employee list visibility is determined by the user's assigned role and its permissions. Roles with sufficient permissions, particularly those based in the parent company, may have the ability to view employees across all subsidiaries and sub-subsidiaries within a complex hierarchy. To manage this:
Navigate to
Setup > Users/Roles > User Management > Manage Roles, then select and edit the relevant role.Within the role configuration, locate the 'Subsidiary Restrictions' section. If no subsidiaries are 'Selected', the user will be restricted to viewing records that are part of their own assigned subsidiary. If specific subsidiaries are 'Selected' (or all are selected), the user will be able to view records from those designated subsidiaries.
Additional restrictions can be applied, such as those based on department, location, and class. It is also possible to restrict the view to only include subordinates.
Furthermore, the 'Allow Cross-Subsidiary Record Viewing' checkbox can be enabled to permit the user to view records originating from other subsidiaries.
