How to Manage Preferred Bin Locations on NetSuite Item Receipts?

NetSuite provides native functionality to manage preferred bin locations, which should be utilized first. For scenarios requiring more advanced or location-specific logic, custom fields and records can extend this functionality.

Leveraging Native NetSuite Features:

1. Enable 'Use Preferred Bin on Item Receipts' Preference:

   Navigate to Setup > Accounting > Accounting Preferences > Items/Transactions tab. Ensure the 'Use Preferred Bin on Item Receipts' preference is enabled. This setting allows NetSuite to automatically suggest the preferred bin during item receipt creation.

2. Configure 'Preferred (Per Location)' on Item Records:

   For each item, navigate to the item record and locate the 'Inventory' subtab. Within the 'Locations' sublist, for each relevant location, mark the 'Preferred (Per Location)' checkbox for the desired bin. This designates a specific bin as preferred for that item at that location.

Custom Solutions for Advanced Scenarios (if native features are insufficient):

Option 1: Custom Transaction Body Field for Single Location

• For a single location, a custom transaction body field can be created to hold the preferred bin. This field can be manually populated or updated via scripting if dynamic selection is required.

Option 2: Custom Transaction Body Fields for Multiple Locations

• Create multiple custom transaction body fields, one for each location. A formula field can be used to display a suggested bin based on the selected location, though it will not directly populate a list/record field for selection.

Option 3: Custom Record with Sourcing for Multiple Locations

1. Create a Custom Record:

   Define a custom record with the following fields:

   • Item (List/Record, sourcing to Item)
   • Location (List/Record, sourcing to Location)
   • Default Bin (List/Record, sourcing to Bin)

2. Populate the Custom Record:

   Enter the preferred bin data for each Item and Location combination into this custom record.

3. Create a Custom Transaction Column Field:

   Set up a custom transaction column field on the Item Receipt (or Purchase Order) to source the 'Default Bin' from the custom record based on the selected 'Item' and 'Location'. When configuring the sourcing, ensure the 'Store Value' option is enabled to allow for automatic population of the field, which can then be saved or further processed.
