Why Is a NetSuite Item Not Appearing in Sales Order Dropdown?
A common reason items are missing from NetSuite sales order dropdowns is a subsidiary mismatch between the item record and the transaction's subsidiary.
Short answer
Items in NetSuite are subsidiary-specific. To make an item visible in a sales order's item dropdown, ensure the item record's "Subsidiary" field includes the subsidiary of the transaction. The transaction's subsidiary is typically determined by the customer's assigned subsidiary. A mismatch prevents item visibility.
Scenario
Users may encounter situations where a specific item, such as a non-inventory item, does not appear in the item dropdown list when creating a Sales Order in NetSuite. This prevents the item from being selected and added to the transaction. The item is confirmed to exist in the system, but it is not available for selection on the sales order form.
Solution
To resolve an item not appearing in a transaction's item dropdown list, verify the item's subsidiary assignment.
Navigate to the Item Record for the item in question.
Locate the "Subsidiary" field on the Item Record.
Ensure that the subsidiary associated with the transaction (which is typically inherited from the customer record) is selected in the item's "Subsidiary" field.For example:If an item is configured to be available only to the USA (Sub), and the customer on the sales order belongs to the Germany (Sub), then the Sub of the transaction will be Germany. In this scenario, because the item is exclusive to the USA (Sub), it will not appear in the Item dropdown on the transaction.
