How Does NetSuite Email Case Capture Match Senders to Records?

NetSuite's email case capture matches sender email addresses to customer and contact records. It prioritizes the most specific match, such as a contact associated with a customer. If no match is found, an anonymous customer is used. Conflicting or standalone contact emails result in an anonymous customer assignment.
Scenario
Users need to understand how NetSuite automatically processes incoming emails to create support cases and associate them with the correct customer and contact records. This includes scenarios where multiple records share an email address, or when an email address does not have a direct match.
Solution
NetSuite's email case capture mechanism automatically assigns customer and contact fields on a case by evaluating the sender's email address.If a direct match for the email address is not found, NetSuite defaults to an anonymous customer, which is configured within the support preferences.When multiple matches for an email address exist across different record types, NetSuite prioritizes the most specific match. For instance, a contact record is considered more specific than a child customer record, which in turn is more specific than a parent customer record. If the same email address is present on a parent customer, a child customer, and a contact associated with that child customer, the case will be linked to the child customer record and the specific contact.To associate multiple email addresses with a single customer for case capture purposes, additional contact records can be created and attached to that customer.It is important to note that NetSuite allows contact records to be linked to employee records, and a contact record can be created for each employee, enabling similar association for employee-related cases.In situations where conflicting email addresses are found across multiple customer records, NetSuite will set the customer field to the anonymous customer and will not populate the contact field.Similarly, if an email address belongs to a standalone contact not directly linked to a customer, NetSuite will set the customer field to the anonymous customer and will not set the contact field. Independent contacts with an email address that are not associated with a customer will not be linked to cases.
