How to Manage Prospect Records and Disable Estimates in NetSuite

Understand the distinction between prospect entity statuses and records, and learn the direct method for disabling the Estimates feature within NetSuite.

Short answer

To disable estimates, uncheck the 'Estimates' feature under the Transactions tab in Setup > Company > Enabled Features. For prospects, understand that 'Prospect' is both an entity status and a distinct record type. Simply changing probability in the Customer Status List may not fully prevent prospect creation, as they are a fundamental sales cycle stage.

Scenario

A NetSuite user seeks to control the use of prospect records and disable the Estimates feature. This often arises when business processes do not require these specific functionalities or when aiming to streamline the sales cycle.

Solution

In NetSuite, 'Prospect' functions as an entity status, but it also represents a distinct record type. A lead status typically creates a lead record, a prospect status creates a prospect record, and a customer status creates a customer record. While it is possible to adjust the probability in the Customer Status List, it is important to note that simply changing this probability may not fully prevent the creation or use of prospect records, as prospects are a fundamental stage in NetSuite's sales cycle and can be automatically generated through various actions, such as creating opportunities or estimates.

To disable the Estimates feature:

  1. Navigate to Setup > Company > Enabled Features.

  2. Under the Transactions tab, locate the 'Estimates' feature.

  3. Uncheck the box next to 'Estimates' to disable its use.
