How to Enable ‘On Behalf Of’ Purchase Requests in NetSuite Employee Center
Configure NetSuite to allow employees to submit purchase requests for colleagues by adding a custom field and adjusting role permissions.
Short answer
To enable 'on behalf of' purchase requests in the NetSuite Employee Center, create a custom employee field on the Purchase Request form. Then, grant the relevant Employee Center role the 'Lists > Employee Record' permission to allow users to select other employees in this new custom field.
Scenario
Users operating within the NetSuite Employee Center often require the ability to submit purchase requests not only for themselves but also on behalf of other employees. The standard 'Requester' field on the Purchase Request form in the Employee Center is typically read-only, defaulting to the logged-in user, which prevents this 'on behalf of' functionality.
Solution
To enable the submission of purchase requests on behalf of other employees in the NetSuite Employee Center, follow these steps:
Create a Custom Employee Field
Add a custom field to the Purchase Request form. This field, for example, can be named 'Created On Behalf Of' and should be configured to reference the Employee list. This allows users to select an employee other than themselves as the requestor. The standard 'Requester' field in the Employee Center is typically not editable for this purpose.
Adjust Role Permissions
Update the Employee Center role to grant the necessary access for selecting employees in the custom field. Add the permission 'Lists > Employee Record' to the role. This granular permission enables users assigned to the Employee Center role to select other employee names within the custom 'Created On Behalf Of' field on the Purchase Request form, without granting broader, less secure permissions.
