How to Track Software License Serial Keys in NetSuite for Subscriptions?

NetSuite provides several methods to track software license serial keys, particularly for subscription management. These solutions assume the customer is not using Serialized Inventory.

Method 1: Utilizing the Contract Renewals Module (CRM) Mapping

This method is suitable when the Contract Renewals Module is implemented.

1. Create a transaction column custom field on the Sales Order to store the Serial Number for that purchase.

2. Create a custom field on a Contract Item called Serial Number.

3. Utilize the mapping feature within the Contract Renewals Module to copy the Serial Number from the Sales Order to the Contract Item.

   This approach allows for tracking Serial Numbers by Customer by Contract Item using Saved Searches, as each Contract Item has distinct start and end dates.

   *Note:* Using a transaction column field will likely limit the quantity of licenses to one per line, as multiple select field types cannot be created on a column field. While free-form text or text area options exist, they can present challenges for running saved searches and reports.

   Method 2: Basic Tracking without Contract Renewals Module

   If the Contract Renewals Module is not in use, a simpler approach can be taken:

5. Utilize Saved Searches to track these serial numbers.

   Method 3: Advanced Tracking with a Custom Record (without CRM mapping)

   For more robust tracking without relying on the CRM mapping feature, a custom record can be implemented:

6. Create a custom record, for example, named “License Keys”.

7. Configure this custom record to track the following fields:

   License Key

   Customer (set to be a parent record)

   Sales Order (set to be a parent record)

   Contract (set to be a parent record)

   Item

8. After the Sales Order is saved, manually enter or CSV import the license keys into this custom record.

9. Since the Customer, Sales Order, and Contract records are set as parent records, the associated license keys will automatically appear on these individual records.

   During subsequent renewal cycles, customers can review their customer record’s list of license keys and deactivate those that will not be used on the following year. Once converted into a renewal sales order, an existing license key record can be appended, or a brand new entry can be created.
