Why NetSuite Custom Formula Fields May Not Appear in Reports
NetSuite custom formula fields are virtual, requiring a form context; learn how to make them reportable using dynamic defaults or custom scripting.
Short answer
Custom formula fields in NetSuite are virtual and calculated on display, not stored, making them unavailable for direct reporting. To include them, configure the field as a dynamic default to store its value at creation, or implement custom scripting to explicitly store the calculated data. This ensures the data persists and can be referenced in reports.
Scenario
Users often encounter difficulties when attempting to add custom formula fields directly to NetSuite reports. These fields are designed to be virtual, meaning their values are calculated dynamically when displayed within a form context rather than being stored in the database. Consequently, they are not readily available for direct referencing or inclusion in standard NetSuite reports, leading to unexpected errors or omissions.
Solution
NetSuite custom formula fields are inherently virtual, calculated only when displayed within a form context. This design means their values are not stored in the database, preventing their direct inclusion in reports. To make these values reportable, consider one of the following approaches:
Utilize Dynamic Defaults for Stored Values If the data required for the formula is available when a record is initially created and its default values are set, the custom field can be configured as a Dynamic Default. This allows the calculated value to be stored at the time of creation. It is crucial to understand that a Dynamic Default is calculated only once upon initial record creation and will not update dynamically thereafter. For example, consider a Transaction Body field on a Sales Order (SO) with the following formula:
{entity.overduebalance} * 0.1 / {entity.daysoverdue}In this scenario, {entity} refers to the customer entity of the Sales Order. If a Sales Order is created from scratch, the customer entity might not be immediately available, causing the formula to return an error. However, if the Sales Order is created from a Quote, where the customer is already known, the formula will successfully calculate and store the default value.
Implement Custom Scripting If the Dynamic Default approach is not feasible for the specific field or scenario, the only alternative for reporting is to implement custom scripting. This involves writing a script that explicitly calculates the desired value and stores it in a standard custom field. This ensures the data is persisted in the database and can then be referenced and displayed in any NetSuite report.
