How to Enable Customer Email Search for Non-Admin Roles in NetSuite
NetSuite users can configure saved searches to display inbound customer emails for roles beyond the Administrator, ensuring broader access to communication records.
Short answer
To enable non-administrator roles to view customer email search results in NetSuite, modify the "Inbound Emails" saved search. Under the 'Criteria' tab, add: "Customer fields: Internal ID (number) is not empty." This simple adjustment ensures broader access to customer communication records for relevant user roles.
Scenario
Users operating with roles other than Administrator in NetSuite may encounter an issue where they cannot view search results for customer emails. This limitation prevents non-admin users from accessing important communication records associated with customer profiles, hindering their ability to track interactions effectively.
Solution
To resolve this, the "Inbound Emails" saved search must be modified to include a specific criterion that enables visibility for non-administrator roles.
Log in to NetSuite as an Administrator.
Edit the message saved search titled "Inbound Emails".
Navigate to the 'Criteria' tab.
Add a new criterion:
Customer fields: Internal ID (number) is not emptySave and Run the updated saved search.
Log in using a specific role (not Administrator) to verify that the incoming messages are now available in the preview of the saved search.
