How to Customize and Remove Fields from NetSuite PDF Layouts

NetSuite users can manage printed fields on custom transaction forms, with advanced options available through Advanced PDF/HTML Templates.

Short answer

Fields can be managed for printing on custom forms via the Printing Fields tab. For basic layouts, fields can be hidden by adjusting dimensions or position. Advanced PDF/HTML Templates offer direct field removal and greater customization, which is the recommended approach for robust and future-compatible layouts. Some system-critical fields may not be directly removable.

Scenario

Users often need to customize the fields displayed on NetSuite PDF layouts for transactions such as invoices or sales orders. The challenge arises when standard fields need to be removed or hidden from the printed output to streamline document presentation. Understanding the available methods for field management is crucial for effective document customization.

Solution

To control which fields print on a custom transaction form, navigate to the 'Printing Fields' tab for that specific custom form. Users can select or deselect fields to include in the printed output. Certain system-critical fields may not be directly removable or modifiable, often indicated by greyed-out checkmarks, and their behavior may vary depending on field configuration. All fields that are enabled for modification can be removed from the printed output. For basic PDF layouts, fields cannot be 'removed' in the same way as in Advanced PDF/HTML Templates. However, they can be effectively hidden by setting their width and height to 0 or by dragging them to the top-left corner of the layout editor. While the 'Printing Fields' tab offers basic control, NetSuite strongly encourages the use of Advanced PDF/HTML Templates for more robust customization and future compatibility, as basic layouts are subject to deprecation. For Advanced PDF/HTML Templates, fields can be directly removed from the layout, offering greater flexibility and control over the document structure and content.
