How to Create NetSuite Invoices Without Immediate General Ledger Impact?

Configure NetSuite accounting preferences to enable invoice approval routing, allowing invoices to be generated and reviewed before posting to the General Ledger.

Solution

To enable invoices to be generated without immediate General Ledger impact, follow these steps:

  1. Activate Approval Routing Preference:

    Navigate to Setup > Accounting > Preferences > Accounting Preferences (requires Administrator role).On the Approval Routing subtab, check the Invoices box. This configuration enables the approval workflow for invoices.

  2. Generate and Review Invoices:

    Generate invoices using the appropriate NetSuite menu path, such as Billing > Sales > Invoice Billable Customers or Transactions > Sales > Invoice Sales Order.After generation, click on the newly created invoice.Review and modify the invoice as needed, then save it. At this stage, the invoice will have a generated number, and its GL Impact status will be NON POSTING.

  3. Invoice Approval Process:

    Proceed with the internal approval or rejection process for the invoice.Once the invoice reaches its final approved status, it will then post to the General Ledger.
