How Are Leads Assigned in NetSuite with Sales Rules and Territories?

Understand how NetSuite assigns leads, both manually created and imported via CSV, using sales rules and sales territories.

Short answer

NetSuite assigns manually created leads to the creating Sales Rep by default, or via sales rules if the Sales Rep field is blank. For CSV imports, the Primary Sales Rep does not default to the importer. Sales rules apply to imported leads if the Sales Rep field is blank in the CSV, irrespective of the importing employee's role.

Organizations often need to understand the logic behind lead assignments in NetSuite, particularly when utilizing sales rules and sales territories. Confusion can arise regarding how leads are assigned when created manually versus when imported through a CSV file, and how the role of the creating or importing employee impacts this process.

Solution

NetSuite's lead assignment logic varies based on how the lead record is created:

  1. For Manually Created Leads:

    • When a lead is created manually by a Sales Representative, it is automatically assigned to that representative.
    • If a lead is created manually by a Sales Representative and the 'Sales Rep' field is left blank, the lead will be assigned according to the configured sales rules and sales territories.
  2. For Leads Imported via CSV File:

    • For leads imported via CSV, the Primary Sales Rep does not default to the user performing the import.
    • Sales rules are applied to imported leads if the 'Sales Rep' field is not set in the CSV file, regardless of whether a Sales Rep or a non-Sales Rep employee performs the import.
