How to Change User Roles and Update Contact Information in NetSuite
Understand the steps to deactivate a user, remove their access, and update associated primary and billing contact details within NetSuite.
Short answer
To change a user, deactivate their access and remove their role. If the user was a primary contact, submit a self-service request via the NetSuite 360 - Plus Financials role. For main billing contact changes, an administrator can update the customer record by editing the address and marking it as 'Default Billing'.
Scenario
An organization needs to change a user's status, specifically user -5, which may involve deactivating their access and updating associated contact information. This process ensures proper security protocols are followed and that critical contact roles are reassigned accurately within NetSuite.
Solution
If the user was designated as the primary contact for the NetSuite account, submit a self-service request through the NetSuite 360 - Plus Financials role to update this information. For changes to the main billing contact or address, an administrator can typically update the customer record by editing the relevant address and marking it as 'Default Billing'.
Deactivate the former administrator's access and remove their associated roles. Note that user -5 is not inherently special in terms of security and access configurations (ID 31916).
