How to Grant One NetSuite Sales Representative Access to Another’s Data?

Configure NetSuite roles and employee hierarchies to allow one sales representative to manage the data of another, ensuring business continuity during absences.

Short answer

To grant a sales representative access to another's data in NetSuite, designate the accessing representative as a supervisor. Configure the supervisor's role with 'Employee Restriction' set to 'own and subordinates only.' Ensure 'Location Restrictions' and 'Product Class Restrictions' are set to 'none - no default' for full data access.

Scenario

Organizations often require one sales representative to access and manage the data of another, such as when a colleague is on vacation or leave. This necessity arises to maintain business continuity and ensure that customer interactions and sales processes continue uninterrupted. Without proper configuration, a sales representative may be unable to view or modify the records of their peers, hindering collaborative efforts and coverage.

Solution

To enable a sales representative (X) to access the data of another sales representative (Y), follow these steps:

  1. Designate sales representative X as a supervisor of sales representative Y within NetSuite's employee records.

  2. Ensure that the role assigned to sales representative X has the Employee Restriction setting configured to own and subordinates only.

  3. Verify that the Location Restrictions for sales representative X's role are set to none - no default.

  4. Confirm that the Product Class Restrictions for sales representative X's role are also set to none - no default. This configuration allows a sales representative to manage the data of their supervised colleagues, regardless of their respective locations or product class assignments, facilitating seamless coverage during absences.
