How to Inactivate Parent Segments While Keeping Child Segments Active in NetSuite
Manage the active status of parent and child departments or classes to control their availability on NetSuite transactions.
Short answer
To inactivate parent departments or classes while keeping their child segments active, navigate to the respective classification list view, enable 'Show Inactives', mark the parent segments as inactive, and submit. This ensures only child segments are available for selection on transactions. Note that inactivating a parent location will also inactivate its children.
Scenario
Organizations often need to prevent users from selecting parent segments (such as departments or classes) on transactions, while still allowing the selection of their more granular child segments. The challenge is to inactivate only the parent segments without inadvertently inactivating all associated child segments, which would restrict their use.
Solution
The process to inactivate parent segments while ensuring their child segments remain active for transaction selection varies by segment type.For Departments and Classes:
Navigate to Setup > Company > Classifications > Departments (or Setup > Company > Classifications > Classes).
On the respective list view, check the ‘Show Inactives’ box, typically located in the top-left corner of the screen.
Check the ‘Inactive’ box next to the specific parent departments or classes you wish to inactivate.
Click on ‘Submit’.Following these steps, the parent departments or classes will be set as inactive and will not be available for selection on transactions, while their child segments will remain active and selectable.For Locations:Inactivating a parent location will automatically inactivate all its child locations. Therefore, this method does not allow for keeping child locations active while the parent is inactive.
