Why Do NetSuite Credit Card Transactions Default to Charge?
NetSuite's 'Auto Fill Transactions' preference can cause credit card transactions to default to the last-used type, such as a charge, when a vendor is selected.
Short answer
NetSuite credit card transactions may default to 'Charge' if the 'Auto Fill Transactions' preference is enabled for the user. This preference remembers the last transaction type for a vendor. To resolve, disable 'Auto Fill Transactions' under Home > Set Preferences > Transactions tab, then log out and back into NetSuite before entering the credit.
Scenario
Users may encounter a situation in NetSuite where, when attempting to enter a credit card transaction as a 'Credit,' the system automatically changes the transaction type to 'Charge.' This occurs consistently when a specific vendor is selected, preventing the user from accurately recording a credit.
Solution
The behavior where a credit card transaction defaults to 'Charge' instead of 'Credit' is typically caused by the 'Auto Fill Transactions' user preference being enabled. When this individual preference is active, NetSuite remembers the last transaction type entered for a specific vendor. If the last transaction for that vendor was a 'Charge,' the system will auto-fill new transactions with that previous information. Since this preference is under Home, it is an individual preference and does not apply to other users.
To resolve this issue, the 'Auto Fill Transactions' preference should be disabled:
Navigate to Home > Set Preferences.
On the Set Preferences tab, click the Transactions tab.
Look for the Basic section.
Check if the 'Auto Fill Transactions' check box is marked.
If marked, uncheck the 'Auto Fill Transactions' check box to disable the preference.
Log out of NetSuite and then log back in before entering the new Credit Card Transaction to ensure the change takes effect.
