ANS-1865 · CUSTOM FIELDS, RECORDS & FORMS

Why Is My NetSuite Custom Field Not Appearing in Saved Searches?

Ensure custom fields are visible and editable in NetSuite saved searches by adjusting their default access level.

Short answer

If a custom field is not appearing in a NetSuite saved search, check its 'Default Level for Searching / Reporting' setting. This option, found on the custom field record, must be set to 'Edit' to ensure the field and its contents are visible in search results.

Scenario

Users may encounter situations where a custom field, despite being created and populated, does not appear as an available column or filter option when building or running a NetSuite saved search. This can prevent users from reporting on or analyzing data associated with that custom field.

Solution

To resolve a custom field not appearing in NetSuite saved searches, review its configuration settings:

  1. Navigate to the definition of the custom field that is not appearing in saved searches.

  2. Locate the 'Default Level for Searching / Reporting' setting on the custom field record.

  3. Ensure this option is set to 'Edit'.

The 'Default Level for Searching / Reporting' setting controls how the custom field behaves in reports and searches:

    • Edit – The field and its contents can be viewed and changed.
    • Run – The field can be seen, but its contents cannot be changed.
    • None – The field cannot be seen, and its contents cannot be changed.

It is also possible to set specific access levels for individual roles, department, and subsidiaries below this default setting, which can override the default behavior for certain users.
