Why Vendor Users Cannot Access Records in NetSuite Saved Searches
NetSuite's design restricts external users, such as vendors, from accessing certain records in saved searches due to how user sessions are linked to employee data.
Short answer
NetSuite saved searches filter records based on the current login session, joining employee and template tables. Since vendor users are not employees, records tied to employee data are filtered out. Granting an Administrator role does not affect external centers, as restrictions are applied based on the center's inherent role.
Scenario
Users operating within external centers, such as Vendor, Customer, or Partner Centers, may encounter situations where saved searches do not display expected records. This often occurs when attempting to retrieve data that is typically linked to internal employee records or when expecting an Administrator role to grant broader access within these external interfaces.
Solution
This behavior is by design within NetSuite. Records are filtered by joining the employee and templates table against the current login session. Consequently, if the logged-in user is a vendor and not an employee, these records are filtered out and will not appear. Furthermore, granting an Administrator role does not override these restrictions within the external Center (Vendor, Customer, and Partner). Each center operates as a distinct role, with its own set of applied restrictions.
